The plant Accounting Assistant is responsible for the financial accounting and reporting functions of the plant. The person holding this position provides plant support for accounting administration, reporting and record keeping. PRIMARY FUNCTIONS Audits and codes invoices and expense reports, including matching invoices to purchase and receiving orders. Performs Accounts Payable data entry. Assist management team in preparation of annual operating budgets and quarterly forecasts. Processes checks for vendors and employees for travel/expense reports. Support preparation of tax filings. Obtains appropriate approvals for payment. Sets up and maintains vendor account information, including 1099 information, executed Terms and Conditions and insurance certifications (where applicable). Interface with external auditors for annual financial audit. Prepare required audit work papers. Inputs miscellaneous journal vouchers into the site accounting system. Ensure compliance with established internal, accounting and reporting controls. Resolve accounting discrepancies. Maintain fixed asset records, software, inventory and files. Special projects as assigned required. SCOPE OF RESPONSIBILITY The accounting assistant operates from established and well-known procedures, performing duties independently with only general direction given. Decisions are made within prescribed operation guidelines. The accounting assistant must effectively communicate information to the Plant Manager and the other department managers/supervisors, relative to accounting processes. The accounting assistant must effectively communicate information to customer representatives relative to budgetary, accounting and inventory processes. All employees have the responsibility to both the customer and their co-workers to do the job right the first time and to ensure the customer's needs are being met. WORKING RELATIONSHIPS The Accounting Assistant reports to the Plant Manager and cooperates with other department managers/supervisors as needed in the daily operation of the plant. PHYSICAL REQUIREMENTS AND WORKING CONDITIONS Position may require extended working hours and varied shifts with the possibility of weekend and holiday work, as required by schedules, work load and plant conditions. All employees will participate in the Fitness for Duty Program. This program includes a post-offer physical examination and drug screening and post employment random drug screening. There are extensive smoking restrictions in and around the facility. JOB QUALIFICATIONS Bachelor's degree in Accounting or related field or equivalent job-related experience. Minimum two years experience in accounting with an understanding of automated accounting systems. Demonstrated experience in corporate accounting and/or applying general accounting principles. Strong computer skills, particularly with Microsoft Office applications in the Windows environment. Experience with accounting software and spreadsheets required. | |
