Looking for an exciting opportunity in the nuclear industry? "Energize" your future with AREVA! AREVA Federal Services LLC, a subsidiary of AREVA, is seeking an Administrative Assistant III. POSITION DESCRIPTION 1) Assures Manager is apprised of all appointments and is aware of changes. Schedules tentative appointments for Manager, makes complex travel arrangements, schedules meetings, anticipates and prepares materials needed by Manager for meetings. Takes meeting notes/minutes and distributes as directed. A primary responsibility is to assist Manager with optimum usage of time and opportunities as they occur. 2) Develops and facilitates process improvement efforts within the Lynchburg Office and keeping the Manager apprised of concerns and issues. 3) Assures the organization's administrative support functions and deadlines are met. 4) Creates and edits expert documents incorporating technical vocabulary, data, graphs, and tables. 5) Develops and prepares presentation-quality materials for both internal and external audiences. 6) Provides telephone coverage, screens telephone calls, either fulfilling the request, seeking the answer and responding, or ensuring the appropriate person responds. 7) Performs other functions or project-related activities such as filing, preparation of recurring internal reports, training log, project files, customer files, general department files, performance appraisal tracking, man hours tracking, office supply requisitions, facilities requests, graphics and reproduction requests, office equipment repair requests. 8) Reviews outgoing correspondence for accuracy, signatures, conformance with procedures. Keeps Manager alerted to publications, news items, regulatory changes, and professional correspondence of significance to the business operations. 9) Compiles and prepares Manager's and group members' expense accounts form from receipts. 10) Works independently, sets priorities and meets deadlines, self-motivated, may perform as "back-up" for an executive administrative assistant. 11) Anticipates and/or identifies needs and issues within the organization and proactively initiates or facilitates solutions. Problem solving may require moderately complex analysis to identify and research information. Seeks advice and assistance from support organizations such as Accounting, Human Resources, etc., when required. DESCRIPTION OF DEPARTMENT/SECTION AFS Lynchburg Office is an engineering unit that supports and manages AREVA projects all over the country and the world. Office functions include engineering, project management, project controls, contract administration and business development. Twenty to Thirty resources report through the Lynchburg Office. TYPICAL PROJECTS YOUR GROUP MAY WORK ON The Lynchburg Office provides engineering and project support to a variety of projects including engineering and design, research and development and safety and licensing. Typical projects involve performing analytical, project management or project controls support for DOE projects.
