Job Description
Overview:

This position is accountable for assisting the Sr. Director Maintenance Services and the Director Operations Planning and Performance and their direct reports in the timely achievement of department goals and objectives. Also provides administrative support to Southpointe based members of the Major Projects group. Integral to that responsibility is the assurance of effective internal and external departmental communications.

Responsibilities:
  • Answer multi-line phone, screen callers and assist or route appropriately. Manages mail/package delivery for the departments. Insures accurate timesheet reporting/documentation in accordance with company policy. Planning and logistics for department meetings/events. Manages office supply requirements for the departments.
  • Manage/monitor business calendars for the Directors and remind them of approaching commitments/due dates.
  • Preparation of business documents such as letter of correspondence, charts, spreadsheets, and presentations as required to meet the responsibilities of the departments.
  • Travel arrangements for the directors and their support staffs.
  • Recordkeeping in accordance with department needs and company policies
  • Administers department budget, validates accuracy of invoices and handles payment processing of such in a timely manner in SAP. Monthly P-card reconciliation and assures accurate cost accounting.
  • Prepare travel expense reimbursement in SAP for the Directors in accordance with company policies and send to Central Reimbursement Approver.
  • Validates field data related to worker utilization (wrench-time) studies and outages in the plants and generates summary reports for use in optimizing utilization.
  • Oversees department web-content, SharePoint postings, department manual /procedures updates.
  • Serves as LMS administrator for the departments and tracks/reminds support staffs of training commitments/requirements.
  • Serves on various specialty teams/projects as requested.
  • Backs-up other Southpointe-based administrators as necessary to maintain continuity of operation within all departments.
Qualifications:

Education and Experience
High school diploma with additional secretarial/commercial business training required. Five (5) years or more of administrative/secretarial experience required. Strong computer skills in the full suite of Microsoft Office products are required. Knowledge of SAP is required. This position functions in a multitask environment and requires the ability to prioritize work and meet deadlines. Individual must possess good communication (both written and verbal) and interpersonal skills and be able to work in a team environment.
