Provides administrative support to the Office of the Corporate Secretary, including but not limited to, answering of telephones, ordering supplies, setting up meeting rooms, processing invoices for payment and addresses any issues. Updates the expense log and reconciles P-Card statements as well as handles mail distribution. In addition, this position will also assist with the assembly and distribution of meeting materials for Board and Committee meetings; picks-up logs and distributes subpoena; updates the entity management database, Governance Central, as needed; prepares, records and files the annual reports and ensures timely submission and payment. Coordinates execution of various corporate governance documents. Ensures proper filing of various documents, including electronic records. Responsible for inquires for Business Registration Certificates and other Secretary Certificates. This job will also perform data research, as necessary, ensure updates to online information; handle offsite records storage and communications with Library and perform any other duties as assigned. Essential: • High School Diploma • Two years administrative / secretarial related experience. • Demonstrated proficiency in computer applications, including Microsoft Office products and Internet based applications. • Demonstrated ability to work independently; meet deadlines and work under pressure. • Must be highly client focused and possess excellent oral and written communication skills. • Capable of interacting with senior management and members of the Board of Directors. • Ability to handle confidential information. | |
